1. Payments & Fees

  • Payment Timing: All individual consultations require full payment at the time of booking unless otherwise specified. You must pay the full fee before your consultation commences.

  • Payment Method: We accept payment by credit or debit card through the Practice Better booking portal.

  • Currency: All fees are in Australian Dollars (AUD).

  • GST: In accordance with Australian tax law, clinical nutrition consultations and prescribed testing are generally GST-free.

  • Debt Recovery: You agree to pay all costs, including debt collection agency fees and solicitor’s costs, that we may incur in taking steps to recover any money owed.

  • Health Fund Rebates: Once you have paid for your consultation, you will receive a receipt via Practice Better, which you may take to your private health fund. Please check with your provider for eligibility; rebates depend on your individual level of cover and cannot be guaranteed.

2. Cancellation & Rescheduling Policy

We value the time set aside to support your health journey. To manage our clinic schedule effectively, we require a minimum of 48 hours’ notice for any changes or cancellations.

  • General Rule: Cancellations or rescheduling made with less than 48 hours’ notice will incur a 100% cancellation fee.

  • No-Shows: No refunds will be issued to clients who fail to attend their scheduled appointment without notice.

  • Repeated Cancellations: Clients who cancel three or more consultations within the 48-hour window may be restricted from making future bookings.

  • Emergencies: We understand that exceptional circumstances occur. Medical emergencies and exceptional circumstances may be acknowledged outside of this policy at our sole discretion.

3. Prepaid Services & Packages

  • Initial Consultations: We do not offer refunds for "change of mind" once a purchase is made. You are welcome to reschedule your appointment, provided 48 hours' notice is given.

  • Health Packages: If you decide to cancel an entire package within 7 days of purchase and before your first consultation, you are eligible for a full refund. Once the first consultation has occurred, the package is non-refundable.

  • Package Validity: All health packages are valid for 12 months from the date of purchase. Any unused sessions after this 12-month period will expire.

4. Privacy & Data Technology

Your privacy is paramount. We use industry-leading technology to manage your clinical records:

  • Practice Better: We use this secure platform for note-taking, file storage, and bookings.

  • Heidi AI: We utilise Heidi AI as a clinical scribe to ensure accurate documentation of our sessions. By engaging in a consultation, you consent to the use of this ambient AI technology to assist in drafting clinical notes. All data is handled in accordance with the Privacy Act 1988 (Cth).
